Information we may collect
- Names and contact details.
- Postcode, availability and preferred method of contact.
- Information about the person who may need care and their family or representative.
- Health, disability, medication, mobility, cultural, religious, gender, language and other care preferences where relevant.
- Assessment, care-plan, visit, medication, incident, safeguarding and communication records when care is provided.
- Professional-referral information.
- Recruitment and employment information, including work history, references, right-to-work and DBS-related information.
- Technical information needed to keep the website secure, such as IP address, browser information and security logs.
Please give only the information needed for us to understand and respond. Do not send full medical records through the general enquiry form or WhatsApp.

We do not use health or care information for unrelated advertising. We do not make legally significant decisions about care solely through the online care guide.
International transfers
Some technology providers may process information outside the UK. Where this occurs, Caring Lane will use an approved transfer mechanism or rely on another lawful safeguard and will limit the information shared to what is necessary.
How long information is kept
We keep information only for as long as it is needed for the purpose, legal duties, regulation, safeguarding, insurance and the defence of legal claims. Our working retention schedule is:
- Enquiries that do not become a service: normally up to 12 months after the last meaningful contact.
- Care assessments and care records: normally up to 8 years after the service ends, subject to longer legal, safeguarding, commissioner or insurance requirements.
- Complaints, incidents and safeguarding records: normally up to 8 years after closure, or longer where required.
- Unsuccessful job applications: normally 6 months after the recruitment decision, unless the applicant agrees to a longer talent-pool period.
- Employment records: retained according to employment, tax, safeguarding and regulatory requirements, commonly up to 6 years after employment ends, with some records held longer where law requires.
- Website security logs: retained for the shortest practical period required for security and investigation.
Records may be kept longer where a complaint, safeguarding matter, legal claim, regulator or statutory duty requires it. Retention periods are reviewed and records are securely deleted or anonymised when no longer needed.
How information is protected
Caring Lane uses access controls, staff confidentiality, secure systems, device and account protections, data minimisation, controlled sharing and secure disposal. Website forms use encrypted HTTPS transmission. No website can eliminate every risk, so please do not include unnecessary medical detail in an initial enquiry.
Your data-protection rights
Depending on the circumstances, you may have the right to:
- Be informed about how information is used.
- Ask for access to your personal information.
- Ask for inaccurate or incomplete information to be corrected.
- Ask for information to be deleted in some circumstances.
- Ask for processing to be restricted.
- Object to processing based on legitimate interests.
- Receive certain information in a portable form.
- Withdraw consent where consent is the lawful basis.
- Challenge solely automated decisions that have legal or similarly significant effects.
Some rights are limited where Caring Lane must keep or use information for care, safeguarding, regulation or another legal obligation. Contact info@caringlane.co.uk to make a request. We may need to verify identity before releasing information.
WhatsApp and email
WhatsApp and ordinary email are convenient for first contact, but they should not be used to send complete medical records, identity documents or other highly sensitive files unless Caring Lane has asked you to use an approved secure method.
